Terms & Conditions 2009/10 (Groups) – Adults

Enrolment at Capital School of English is considered to be an agreement when the school has received full payment of all fees and the school has agreed to accept the students. In the interests of all fellow students studying with us, you are respectfully asked to observe the following terms and conditions. If at any time you do not understand please contact a member of staff at the school who will be happy to answer any questions.

A comprehensive list with all the student names, arrival and departure dates, airport details (arrival / departure terminals), full overseas address and telephone numbers must be provided by the agent/client 4 weeks before arrival and any special instructions regarding activity exclusions, medical and dietary requirements (copies of these forms will be provided as pdf downloads via the Agent Zone on the web site).

Failure to provide this documentation may incur additional fees for Capital School to collate this vital information.

Enrolment Fees: On application, students will be charged an enrolment registration fee and an accommodation fee*, both are non-refundable under any circumstances. For Visa students there is a separate, non refundable, fee to cover the very specific administration of these students.

  • Registration Fee: Low season £65 – Summer season £80
  • Accommodation Fee*: All year £50
  • Visa Fee: All year £50

*For students arranging their own accommodation this fee will not apply

Tuition Fees: The total cost of the course fees must be paid in full at least 4 weeks prior to the course commencement date.

Payment can be made in the following ways: Bank to Bank Transfer (Bank fees may apply), Credit Card, Sterling Cheques and Cash. Fees and Lessons cannot be transferred under any circumstances.
 

Note: Visa Nationals will not be refunded any fees once the visa has been granted. If it is discovered that a student has made a false declaration then we will report this to the immigration authorities.


Course extension: If students wish to extend their course they must notify the school at least 2 weeks before their current course finishes.

Cancellations:

  1. A minimum of 4 weeks notice is required from the school if a student wishes to cancel a course prior to commencement in order for a refund to be made.
  2. If a student decides to cancel a course within 4 weeks prior to commencement a refund of 50% (Tuition and accommodation fees) will be made.
  3. If a student wishes to cancel their course after commencement date no refund will be made.
  4. If a student visa application is rejected a refund will be made under the following conditions: Return of the original letter of acceptance (required by all applicants) and a Copy of the visa rejection letter. The school must be informed at least 2 weeks before course commencement.

Important Note:

  1. Only under special circumstances will a refund be made and this is at the Managing Director’s discretion.
  2. Any refunds will be paid after the registration fees have been deducted.
  3. Any extra costs incurred eg: money transfers, requests for bank drafts or extraordinary payments will be passed onto the student or their representative.

Course Details: Capital School of English reserves the right to change course arrangements and fees. This includes: class times and syllabuses. Please note that all course books are loaned and are not included in the tuition fees. Any books damaged by a student will have to be paid for in full.

Attendance: Students must attend all lessons on time and are not allowed to be absent unless otherwise permitted by the Managing Director. Absence due to sickness must be covered by a doctor’s certificate for the whole period.  The school must be informed immediately of all illnesses regardless of the symptoms.

Expulsion: In cases where a student has been found either to have acted illegally or operated outside of the rules and regulations of the school and or their Visa requirements, Capital School of English reserves the right to expel a student with loss of all fees and accommodation.This will be at the Managing Director’s discretion and any additional travel costs will be at the student’s, agent’s or parents expense and must be paid in advance by credit card

Important Note: No refund or extra week’s tuition will be given for public holidays

Students must inform the reception of any planned holidays in order to sign a disclaimer covering the period of absence.  No refund will be issued if a student wishes to finish a course early. (Only under special circumstances will refunds be considered and will be at the Managing Director’s discretion).

Insurance: We recommend that students take out their own fully comprehensive insurance for the whole duration of their stay. Capital School of English will be happy to recommend reputable insurance cover if a student wishes.


Arrivals & Accommodation:

All accommodation is regulated by Capital School of English and is checked and assessed regularly.

Student Groups MUST arrive on a Sunday with a Sunday departure. If arrival and departure can only be managed on a weekday then the accommodation fee for the full week(s) will be required as rooms are booked with our homestays on a Sunday to Sunday basis.

If a group has no other option than to arrive on a Saturday then they could arrange alternative accommodation to effectively commence their programme on the Sunday unfortunately we cannot accept arrivals on a Saturday as any additional accommodation would have to be in a Hotel or B&B providing they are under the care and attention of their group leaders.

If alternative accommodation has to be found then this will be the Agent’s responsibility, if Capital School are engaged to provide this service then there will be an administration charge equivalent to 10% of the accommodation cost.

The school holds no responsibility for students arriving early or late.

A weekly list of Airport arrival, date, flight number, time, airport and terminal to be provided on a single list by the agent/client 4 weeks prior too arrival.

Collective Group transfer only applies to groups and is quoted separately from the study programme.

On arrival in and departure from Bournemouth the students will be transported to and from their homestay accommodation either by the homestay family or taxi.

Closed groups will be accommodated together in twin rooms, if the group has an odd number this extra room will be charged at a single rate and will be the responsibility of the Agent to allocate this accommodation.

Students are reminded that they are guests and should respect the rules and decisions of the homestay families.

If a student wishes to change their homestay family accommodation this can only be arranged for justifiable reasons and an administration charge of £50.00 will be made. 

One week notice from a Saturday must be given or one week¹s payment in lieu.


Activities & Excursions
Paid activities will be only ones stated on the invoice as well as the frequency, if an Agent or client wishes to arrange additional activities through the School then they will need to agree this in advance and the client/agent will have to pay for it in the School

A comprehensive Social Programme has been included in the Packages – these will be advised in full on arrival. (A sample of the programme can be found on the school’s web site.

We are unable to provide refunds for activities or excursions not taken by a student during the course of their stay as this is a package.

Please note that the school reserves the right to change prices due to changes in the immigration system, airport regulation and any other that may apply – the School will endeavour to advise all parties as soon as the School is aware of any changes in these costs.

No Diploma or Student’s End of Course Report will be given if the student’s attendance is less than 80%.

If a student is suspected of having committing a crime and/or acting in a manner that the school deems as unsuitable then the school reserves the right to expel them. This will be at the Managing Director’s discretion and any additional travel costs will be at the student’s, agent’s or parents expense and must be paid in advance by credit card

Holiday Entitlement: Holidays can be taken during certain courses. If students inform the school of a pre-arranged holiday at least 4 weeks prior to course commencement the school will extend a students course for that period of time.  (You must inform reception).

Entitlement period:
Less than 3 months: No holiday.
4-6 months: 1 WEEK.
7-9 months: 2 WEEKS.
9 months or more: 3 WEEKS.

Important Note: No refund or extra week’s tuition will be given for public holidays or the 3 weeks at Christmas when the school is closed.

Accommodation: This is regulated by Capital School of English and is checked and assessed regularly. Accommodation is normally reserved from 12:00 noon Sunday to 12 noon the following Sunday. Students are booked on a weekly basis (Sunday to Sunday). The school holds no responsibility for students arriving early or late. Extra nights will be charged pro-rata. Dietary, medical needs and interests should be highlighted to the school in advance of arrival when completing the enrolment form. Students are reminded that they are guests and should respect the rules and decisions of the host families. If a student wishes to change their host family accommodation this can only be arranged for justifiable reasons and an administration charge of £50.00 will be made.  One week notice from a Sunday must be given or one week¹s payment in lieu.

In these cases where the departure will also be later in the week then the accommodation fee for the full week will be required also as rooms are booked with our homestays on a Sunday to Sunday weekly basis

The school holds no responsibility for students arriving early or late.

Dietary, medical needs and interests should be highlighted to the school in advance of arrival when completing the enrolment form.

Students are reminded that they are guests and should respect the rules and decisions of the homestay families.

If a student wishes to change their homestay family accommodation this can only be arranged for justifiable reasons and an administration charge of £50.00 will be made. 

For individuals, 16 and under, travelling to the UK a taxi service or collective transfer will compulsory, please note that the quotation will be given depending on the airport of arrival, if a taxi is shared an extra cost for drop off will apply as well as extra time if the flight is delayed.

For individuals over 16 you will be expected to make your own way to the homestay. A taxi service is available at an additional cost (please contact the school for costs or advice on transport options)

Twin rooms are only available for students coming with a partner or friend otherwise single room accommodation and fees will apply.

A comprehensive Social Programme has been included in the Individual Package – these will be advised in full on arrival. (A sample of the programme can be found on the school’s web site.
